No experience needed ! If you have experience it is a bonus! We’re looking for a reliable Office Assistant to support daily operations for a fast-growing tree service and contracting company. Responsibilities include administrative support, scheduling, organizing documents, and assisting with project bids. Experience with tree service operations, government bids, or utility line-clearance projects is a strong plus. Ideal candidate is organized, fast-paced, and able to learn quickly in a high-growth environment.

Responsibilities

  • Assist with preparation, formatting, and submission of project bids for tree service, utility line-clearance, and general contracting jobs.
  • Organize and maintain company files, job folders, estimates, invoices, and compliance documents.
  • Handle daily administrative tasks including email management, scheduling, and customer communication.
  • Coordinate with field crews regarding job details, scheduling updates, and project documentation.
  • Track incoming bids, deadlines, and follow-ups for municipal, commercial, and government opportunities.
  • Enter job information, estimates, and work orders into company systems.
  • Assist with vendor forms, COIs, W-9s, subcontractor paperwork, and onboarding documents.
  • Monitor bid portals, utility contractor platforms, and municipal postings for new opportunities.
  • Support management with day-to-day operations across multiple ongoing projects.
  • Maintain professionalism and confidentiality with company information.
  • Provide administrative support during high-volume periods or urgent project turnarounds.
  • Help with basic bookkeeping tasks (logging expenses, receipts, mileage, etc.) as needed.
  • Communicate with clients, partners, and subcontractors regarding paperwork or scheduling.
  • Assist in preparing job packets, maps, and documentation needed for crews on utility vegetation projects.
  • Perform general office duties such as data entry, scanning, document prep, and record keeping.

Job Types: Full-time, Part-time

Pay: $15.00 – $40.00 per hour
