Full job description
KRS Smart Books is seeking a proactive and detail-oriented Admin Assistant to support their CEO and operations team with administrative, documentation, and client-facing tasks. This is a part-time remote job with 10-20 hours per week, paying $25 per hour.
Responsibilities
Administrative & Executive Support
- Track open items and follow up on deadlines
- Assist with inbox organization and manage professional correspondence
- Maintain organized filing systems within Google Drive
- Support time tracking, contractor documentation, and light payroll coordination
Client & Vendor Communication
- Communicate with property management clients and vendors
- Maintain up-to-date client folders with contracts, scopes of work, and SLAs
- Support contract renewal and documentation process
Project Coordination
- Manage task updates and progress tracking in Asana
- Follow up on action items and ensure deliverables stay on schedule
- Prepare weekly status updates or summaries for leadership review
Document & Process Management
- Assist in building and maintaining an internal SOP library
- Convert video recordings into written SOPs
- Keep shared documentation consistent, accessible, and current
Scheduling & Meeting Coordination
- Manage calendars and coordinate meetings
- Prepare agendas, meeting notes, and follow-up summaries
Light Bookkeeping Assistance
- Perform administrative bookkeeping support
Requirements
- Property management experience
- Highly organized and dependable
- Comfortable supporting leadership and communicating across a remote team
- Tech-savvy and process-driven
- Ability to take initiative and anticipate needs
