Program and Administrative Assistant
Healthy Schools Network (HS Network) seeks a self-directed, detailed oriented, and mission-driven Program and Administrative Assistant to perform tasks necessary to assure organizational efficiency and assist the Executive Director. This is a hands-on role in a small nonprofit with a virtual office. You will work directly with the Executive Director to manage daily operations, coordinate outreach, and support the delivery of HS Network’s programs and events.

Key Responsibilities:
Administration
- Serve as the point of contact for scheduling, emails, and inquiries.
- Maintain calendars, files, and organizational records.
- Process invoices and reimbursements; assist with required reports and filings.
- Support Board and committee meetings: agendas, materials, minutes, and follow-ups.
Grants, Data & Outreach
- Track grant timelines and reporting requirements, maintain internal dashboards.
- Update and monitor HS Network’s customer relations management (CRM) system (Elio): enter data, update contacts, and track outreach and responses.
- Assist in preparing and distributing email updates and news/announcements.
Communications Support
- Keep website content current in coordination with the website manager.
- Assist in preparing HS Network’s biweekly NewsSlice newsletter.
- Assist with layout, proofreading, and posting approved materials online or by email.
- Monitor email and social media channels for relevant partner updates, and suggest materials for HS Network distribution and resource center.
Programs & Events
- Support logistics for virtual meetings, webinars, and small events (registrations, scheduling, reminders, notes, follow-ups).
- Assist with coordination of national events such as National Healthy Schools Day.
- Help compile meeting notes and maintain task lists for follow-up.
Qualifications:
Required
- 2–3 years of experience supporting operations, administration, or communications.
- Excellent organizational skills and follow-through.
- Strong written and verbal communication skills.
- Comfort with Google Workspace, Microsoft Office, virtual meeting platforms, and social media.
- Ability to manage multiple tasks, meet deadlines, and work independently in a virtual environment.
Preferred
- Experience with CRM systems (Elio, Salesforce, or similar).
- Familiarity with grant tracking, reimbursements, and data entry.
- Familiarity with school environmental health, children’s health, or education policies.
- Experience in issue advocacy environments.
- Experience managing organizational social media accounts.
