We are seeking a highly organized Administrative Assistant to support our COO and leadership team with daily operations and administrative execution.
Position Overview
The Administrative Assistant to the COO plays a critical role in keeping leadership organized, informed, and focused. This role supports day-to-day administrative needs, assists with internal coordination, and ensures tasks, communications, and schedules run smoothly. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, deadline-driven environment.
Key Responsibilities:
Executive Support
- Manage the COOs calendar, scheduling meetings and prioritizing time effectively
- Prepare agendas, notes, and follow-ups for meetings
- Assist with email management and internal communications
- Track action items and ensure deadlines are met
Administrative & Operations Support
- Organize documents, contracts, and internal records
- Assist with onboarding/off boarding of staff and vendors
- Coordinate internal processes across leasing, accounting, and operations teams
- Maintain spreadsheets, reports, and dashboards as needed
Property Management Assistance
- Support administrative tasks related to leasing, renewals, inspections, and compliance
- Coordinate township compliance documentation and deadlines
- Assist with vendor coordination and follow-ups
- Help ensure systems and workflows are followed consistently
Project & Process Support
- Assist the COO with special projects and operational improvements
- Help document and refine internal processes and SOPs
- Support implementation of new systems or tools
Qualifications
- 2+ years of administrative or executive assistant experience (real estate/ construction/ or property management experience is a plus)
- Strong organizational and time-management skills
- Excellent written and verbal communication
- High attention to detail and follow-through
- Comfortable working with technology (Google Workspace, property management software (Appfolio), spreadsheets)
- Ability to handle confidential information professionally
- Self-starter who can anticipate needs and solve problems independently
